Executive Assistant:
Linx Entertainment is a rapidly growing, entertainment provider. We focus on
the night club and major performance events and concerts. In joining our team,

motivated, experienced and reliable Executive Assistant with the ability to
work independently.
We are looking for a dynamic, assertive, innovative self-starter who is bright,
reliable, and resourceful. He or she must be an outgoing, savvy, and enthusiastic
candidate with a passion for the entertainment industry that is willing to take
initiative. He or she will be responsible for providing advanced administrative
support to the President/Co-Founder/Chief Operating Officer. This person will
primarily communicate with employees, management, and high-end clients. The
Executive Assistant will ensure that all communications, schedules, travel arrangements,
and expenses are handled in a timely and professional manner.
JOB RESPONSIBILITIES:
- Screens calls and responds to internal and external requests for information
and follows through to ensure requested actions are taken or completed
- Coordinates, manages, & maintains calendars/schedules and contact
- Handles correspondences
- Coordinates meetings & prepares arrangements for conferences, meetings,
luncheons, & events
- Schedules appointments, meetings & conference calls & confirms changes
or delays
- Prepares all presentations, reports, materials, samples, etc. as needed for
meetings and presentations both internal and external
- Manages invoice processing, coding and logging for department
- Coordinates, duplicates, sorts and mails a variety of materials including
letters, press kits, presentations and mass mailings
- Coordinates & plans domestic & international travel arrangements
(airfare, hotel, & ground transportation) for President/Co-Founder/COO
- Coordinates & schedules travel for the executives of the Entertainment
group in accordance with company travel policy
- Compiles expense reports for President/Co-Founder/COO & other executive
officers
- Acts as liaison between senior management, colleagues & clients to facilitate
work & accomplish objectives in a collaborative effort
- Tracks departmental expenses (travel & entertainment)
- Performs general office duties (filing, copy, fax)
- Maintains department files and archives all presentations
- Handles special projects on behalf of President and other executives
JOB REQUIREMENTS:
- Must have at least 3 years of high-level executive assistant experience in
the music or entertainment industry
- Excellent & exceptional organizational skills with attention to detail
- Ability to prioritize and multi-task
- General office/administrative experience and knowledge of office equipment
- Effective communication skills (oral, written and listening). Knowledge of
phone and email etiquette. Effective interpersonal skills.
- Strong computer skills, with focus on Microsoft Word, Excel, and PowerPoint
- Proactive self starter with a positive attitude
- Ability to handle multiple tasks simultaneously
- Ability to analyze a situation and take initiative needed to complete project
- Solid logistical skills with ability to anticipate potential issues from
the traveler's perspective and push when appropriate.
- Excellent scheduling skills, must be experienced with Microsoft Outlook.
- Proven ability to work well across department, function and company lines
with high levels of interaction with other executives and their assistants.
- Must be able to meet extremely tight deadlines; remain calm during difficult
situations, work under pressure and with frequent interruptions.
- Ability to handle diverse job responsibilities.
- Passion for music & entertainment is a definite plus.
